Building use form


The vision of our church is to encourage connection with God, each other and our community.  That is the reason we joyfully receive applications for events that maximize the use of our space and property.

Please review the event Policies and Regulations prior to filling out the request form.

GENERAL POLICIES

1. Saturday events must be scheduled to conclude no later than 4pm (this includes clean-up time). Considerations may be made for our community partners. Sunday events will not be scheduled prior to 1pm (this includes set-up time).

2. The church will make every effort to accommodate requests from individuals, groups, or non-profit organizations whose purpose is compatible with the church’s outreach.  Any church member may request to have fees waived for personal events.

3. Scheduled church activities shall have priority to space, facilities, and equipment.

4. Individuals or groups using the facility shall be responsible for the room arrangement (setting up of tables, chairs, etc.). Care is to be taken to eliminate damage to furnishings or facilities, and the space used is to be left in a condition equal to its prior use.  Lights are to be turned off at the end of the event.  *See item 6 for restrictions.

5. Restrictions:

a) Alcoholic beverages and/or illegal drugs are not permitted on church property under any circumstances.  

b) No smoking or use of tobacco is allowed in the church building at any time.  Smoking outside is only permitted after 5:30 p.m.  Under no circumstances can there be smoking anywhere on the property during the operating hours of 7:30 a.m. to 5:30 p.m, Monday through Friday to honor the Spanish Academy of Asheville’s tobacco free campus.

c) Furniture:
- Worship Center: Items on the stage and couches/lounge area furniture are not to be moved.
- Other Rooms: Any items moved must be returned to their original places.

d) For security reasons, exterior doors are never to be propped open.  Doors are automatically scheduled and can remain open up to 30 minutes after event start time.

e) Children should be appropriately supervised at all times, including on the playground as this space is shared with the Spanish Academy of Asheville.

f) No helium balloons in the building. (they can trigger smoke sensors and set off the fire alarm)

g) No rice or confetti is allowed on the church property.

h) No gambling is allowed on the church property at any time.

i) No weapons, firearms, or other dangerous items are allowed on the church property at any time.

j) No furnishings or equipment shall be taken from the church. 

k) Use of the church musical instruments is not allowed unless arrangements have been made with Worship Pastor.

l) Food, drink, or other objects may not be placed on the instruments for any reason.

m) All food and supplies must be removed from the kitchen upon conclusion of the event.

n) Any damage or concerns should be reported to tracy@cccasheville.org as soon as possible.  Note that the individual, non-profit group or organization using the church is responsible for repairing or replacing anything broken or damaged. 

6. Fees on facility rentals

a) Building Rental: 
- Worship Center (20-200): Half day, up to 4 hours: $200, Full day, up to 8 hours: $350
- Classrooms (up to 20): Hourly: $25, Half day, up to 4 hours: $75, Full day, up to 8 hours: $125
(Rental fees for our community partners will be donation based or half of current fees)

b) Event Coordinator: A fee of $100.00/for a half day event, $175.00/for a full day event will be charged for all non-church sponsored events, and payment should be made in advance to the event coordinator. The event coordinator will be on property for the duration of the event.

c) Sound Technician: A fee of $50.00/per hour, with a 2 hour minimum will be charged for use of the sound system for all non-church sponsored events, and payment should be made in advance to the sound technician. Operation of the sound system must be done by a representative of Covenant.

d) Custodial Services: will be charged at a rate of $25.00 per hour and are required for all events in the Worship Center and/or if refreshments will be served.

e) Liability Insurance – a certificate of insurance with the church listed is requested.  A fee is applied if not provided.

7. Communication is of the essence.  We entertain requests for last minute changes, but cannot guarantee within a business week of an event.
